As part of doing business, Invensys exchanges hundreds of technical specifications and formal transmittals each week - with government clients and sub-suppliers. Prior to implementation, information was duplicated, not easy to organize and retrieve and they didn’t have a structured workflow process. Each document contains critical tracking information and must undergo a different type of workflow and prompt certain actions. Prior to implementing a solution, scanned copies and electronic documents were stored on a shared drive then Document Control personnel manually retrieved them, extracted tracking information and manually administered an email - based workflow. This was labor intensive and error prone.
ECM Solutions engaged together with a large Oracle partner from Boston to implement complete end to end WebCenter Document and Records Management. ECM Solutions delivered the document management part using Oracle Capture. The solution slashed 50% of the load of overworked Document Control people.
Before using Oracle Capture, average time spent per document was benchmarked at 2 min 17 sec – when 15 pieces of data had to be extracted from the document and populated into the table. With using Capture for extracting verifying and correcting pre-filled values – time spent per document dropped to just over 33 seconds!
That’s over two hours of added productive time (out of estimated 4) per Document Control person per day – or a killer 200% increase in productivity!
WebCenter Content automated workflow was also used, resulting in additional improvement in operational efficiency and major drop in communication - related errors.
